Organize Projects
Keep specifications, decisions, and handover information together.
Before You Start
Prepare a project name, location, short scope, and the contact responsible for keeping records current.
What To Do
- Open Organize and go to My Projects. Use the available project creation option.
- Enter the requested details. Choose a name your team can recognize, such as “Oak Street Store Refresh 2026.”
- Add the project location and scope where those fields are available. Avoid including unnecessary personal information.
- Save the project and open its record to confirm the details are correct.
- Add the first useful record, such as the current specification or project brief. Arrange team access only after checking what each person needs to see.
Check Your Result
You have a project record that your team can identify and begin using.
If You Need Help
Cannot create a project? Check that you are in the correct company or team. Ask your administrator about permissions or plan limits before creating a duplicate elsewhere.

Gather the latest documents and identify which files are approved, proposed, or superseded.
What to do
- Open the correct project and locate its records or document area.
- Use clear file names that include the subject and revision or date. For example, “Lighting Schedule Rev 03 2026-10-11.”
- Add files or references using the options available in the project. Record the source and responsible contact where possible.
- Keep proposed selections distinguishable from approved decisions and installed items. A saved product is not evidence of installation.
- When information changes, identify the current version and preserve relevant decision history. If there is no status field, use a clear naming convention.
- Open the record again and check that the file is readable and attached to the intended project.
Check Your Result
A teammate can identify the current information and understand where it came from.
If You Need Help
An upload fails? Check the on-screen file requirements and your connection. Keep the original file and send Support the file type, approximate size, and error message.

Agree on who will receive the records and who is responsible for checking completeness.
What to do
- List the installed materials and assets. Compare them with the final project information and note substitutions or unresolved items.
- Gather supplier details, installation information, care instructions, warranties, and relevant completion documents.
- Label records clearly by item and location. Include model or serial numbers where needed to identify the installed asset.
- Identify gaps explicitly. Mark missing or unconfirmed information instead of treating it as complete.
- Agree with the recipient how records will be shared using the access or export options available to your account.
- Ask the recipient to check that they can open the records and find a warranty, supplier contact, and maintenance instruction.
Check Your Result
The owner can locate practical information for day-to-day use and knows which items remain unresolved.
If You Need Help
A specification differs from the installed product? Record the installed item and keep the reason or confirmation for the change. Do not silently overwrite the history.
